AGM Results, 18th September 2021

The intention for the AGM this year was to return to “near normal” and hold it in Porlock Village Hall, although members were warned that it might be impossible because of sudden change in the Covid-19 pandemic and the Society website would provide details of any alternative arrangements necessary. The correct process was followed and members were notified in August of the Agenda of Society Business which included members voting at the AGM for three motions, items 4, 5, 6 and notification of AOB, item 7. No member nominated anybody to become either an Officer or Trustee or raised any item for AOB within in the time scale, leading to the motions on the Agenda being put to the vote at the AGM.

Unfortunately, many members said they would not attend the AGM because of the recent high rates of Covid infection in the Porlock area.  On Tuesday 7th September, these exceptional circumstances caused the decision to cancel the meeting, and notification was put on the website with the full Financial Accounts and Agenda and the invitation for member registration to attend the Zoom meeting between 10.30-11.30 am on Saturday, 18th September. Further challenges were faced, with members intending to take part in the virtual meeting, concerned that with unstable internet connections, they instructed the Chairman of their positive vote to be used on their behalf.  Further complications arose with the sad death of the President, Sir Antony Acland, ten days before his re-election, and the lack of success in finding a replacement Treasurer.

There were 22 attendees at the meeting, plus 16 members recorded as voting in absentia with a total number of 53 votes, from family and individual memberships, received for each of the three motions put to members. Bill Gash had agreed to become the acting Treasurer and was approved as a signatory for the bank account.

The Chairman’s Address followed, together with contributions from Trustees and Members. The meeting was closed at 11.30am.
